Overview
Aktivitetshuset Vesterled approached us with the objective of streamlining certain operational processes for residents while concurrently facilitating educators in the expeditious execution of their duties.
Their primary challenge lay in the method by which residents documented expenditures related to food, materials, and various events necessitating individual contributions. The existing procedure proved to be notably manual and cumbersome.
Operational functionality involved residents locating their designated folder, inscribing the details manually, including their name and associated expenses, into a handwritten ledger.
At the conclusion of each month, one of the educators undertook the task of meticulously reviewing each folder — considering the resident count exceeded 20 — prior to systematically transferring the compiled information into an Excel spreadsheet.
This process proved time-intensive, particularly given the substantial volume of folders. Compounding the issue was the potential difficulty in deciphering handwriting, necessitating additional effort in locating specific residents to ensure accuracy in information retrieval.
What we did
We have developed a user-friendly and intuitive interface for residents. By simply pressing a button with their name, an overview of their purchases for the current month is displayed. Users have the option to delete purchases in case of errors. Furthermore, they can choose the relevant category, and depending on the selection, perform various actions.
For the educators, we have implemented an administrative panel. Here, they can create resident profiles, access a comprehensive overview of all purchases, edit existing information, and initiate purchases on behalf of a resident.
Additionally, we have introduced a feature that automatically generates an Excel sheet based on the purchases made during a month. This eliminates the need for manual updates.
